1. Who We Are

Office 24/7 is a front-office automation platform for trades businesses, operated by BusiBoxx Inc. ("BusiBoxx," "we," "us," or "our"). Our registered address and contact information:

2. What We Collect

Account & Billing Information

• Business name, owner name, email address, and phone number
• Billing address and payment method (processed by Stripe — we never store card numbers)
• Subscription tier and billing history

Call & Caller Data (Vera)

• Inbound caller phone numbers and call timestamps
• Call recordings and transcriptions (used to generate SMS lead summaries sent to you)
• Caller-provided information (name, reason for calling, urgency) captured by Vera during the call

Caller data is collected on your behalf. You control it, and you are responsible for informing your callers that calls may be recorded where required by law.

Website & Usage Data

• IP address, browser type, pages visited, and time on site (via Google Analytics 4)
• Form submissions and intake requests
• Error logs for debugging

Review & Reputation Data

• Customer email addresses and phone numbers you provide for review requests
• Review request delivery status (sent, opened, clicked)
• Public review data fetched from Google (star ratings, counts)

3. How We Use Your Data

• Deliver the service — operate Vera call answering, send you lead SMS summaries, generate invoices, dispatch review requests
• Billing — process subscription payments and issue receipts through Stripe
• Support — respond to help requests and debug issues
• Improve the platform — analyze aggregate, anonymized usage to make Office 24/7 better
• Legal compliance — maintain records as required by applicable law

We do not use your data or your callers' data for advertising. We do not sell or rent any personal information to third parties.

4. Third-Party Services We Use

• Stripe — payment processing (stripe.com/privacy)
• Twilio — call routing, call recording, and SMS delivery (twilio.com/legal/privacy)
• Google (GA4, Search Console, Business Profile) — analytics and reputation data (policies.google.com/privacy)
• Microsoft Azure — cloud infrastructure and data storage

Each of these providers operates under their own privacy policies and data processing agreements. We have data processing agreements in place with each where required.

5. Data Retention

• Call recordings — retained for 90 days, then automatically deleted
• Call transcriptions & lead summaries — retained for 12 months
• Account data — retained for the duration of your subscription plus 90 days after cancellation
• Billing records — retained for 7 years as required for tax and legal compliance

6. Your Rights

Depending on where you and your business are located, you may have the right to:

• Access a copy of the personal data we hold about you
• Correct inaccurate information
• Request deletion of your account data
• Object to or restrict certain processing
• Export your data in a portable format

7. Security

We use industry-standard security practices including encrypted data transmission (TLS), encrypted storage, and access controls limited to authorized personnel. No method of electronic storage is 100% secure — if you discover a security issue, please report it to info@busiboxx.com immediately.

8. Call Recording Consent

Vera announces at the start of every call that the call may be recorded. As a subscriber, you agree that you have reviewed the call recording laws applicable in your jurisdiction and that Vera's announcement satisfies any required consent obligations. In jurisdictions with all-party consent requirements (e.g., certain US states), you are responsible for ensuring compliance.

9. Children's Privacy

Office 24/7 is a business-to-business service. We do not knowingly collect personal information from individuals under 18. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email at least 14 days before the change takes effect. Continued use of the service after that date constitutes acceptance of the updated policy.
